2. Data Collected and Purposes

– Website data (server log files, technical information) to ensure operation, security, performance, and statistics.
– Applicant data (name, contact details, nationality, health, religious and philosophical views, bank details, emergency contact details, and references) for selection, placement, contract fulfillment, travel arrangements, and grant management.
– Donor data (name, address, account number, payment details) for donation receipts and accounting.
– Communication (email, telephone, postal mail) to answer inquiries, send newsletters, and maintain contact with alumni.
– Data collected by online tools and other platforms (Zoom, MS Teams, Padlet, easyfeedback, etc.) for organizing and conducting events and seminars, for quality assurance surveys, public relations, and general association administration.
– Photos, texts, and, where applicable, video files provided to us by volunteers for public relations purposes.
– Personal data for business purposes and legal obligations.

3. Legal Basis

– Consent (Art. 6 para. 1 lit. a) for non-essential cookies, social media plugins, and newsletters; for the use of applicant data and references; of photos, texts, and video files for public relations; and for sharing health data with insurers and medical providers.
– Contractual performance (Art. 6 para. 1 lit. b) for the volunteer service contract.
– Legitimate interest (Art. 6 para. 1 lit. f) for website operation, IT security, and alumni communication.
– Legal obligation (Art. 6 para. 1 lit. c) tax-related retention obligations and duty of care § 618 BGB, labor law and social security law (for CD employees).

4. Technical and organizational measures (TOMs)

We implement the following measures to protect your data:
– Encrypted transmission (TLS)
– Access controls with authorization management
– Regular backups and updates
– Antivirus and firewall systems

5. Recipients and transfers to third countries

– Internal recipients: Management, staff team, accounting.
– External processors: Coliex Systems GmbH, civiservice.de GmbH, Dr. Walter GmbH, mennox.de Marion Wiebe, tax advisor (including payroll accounting), insurance companies, travel agencies.
– Transfers to third countries (USA: Zoom, Vimeo, Instagram, Padlet) are carried out exclusively on the basis of the EU Standard Contractual Clauses (Art. 46 GDPR).
Additionally, data is transferred to various third countries/host countries where placements are located. Application data is transmitted in encrypted form and secured locally.
– Additional disclosure to third parties:
• For volunteers in the weltwärts program: the EWDE (Evangelical Agency for Diakonia and Development), Engagement Global gGmbH, and related government agencies, such as the Federal Ministry for Economic Cooperation and Development (BMZ) and the host country’s diplomatic mission.
• For volunteers in the IJFD: the Federal Office for Family Affairs and Civil Society (BAFZA) and, through this office, other agencies, such as the Federal Ministry for Family Affairs, Senior Citizens, Women and Youth (BMBFSFJ) and the host country’s diplomatic mission.

6. Data Retention Period

Data is deleted as soon as the respective purpose ceases to apply (usually 8 years after the end of service). Statutory retention periods remain unaffected (e.g., 10 years for accounting records). The data deletion policy is in effect. Exceptions are the basic personal data of former volunteers (name, date of birth, gender, telephone number, postal and email address, start and end dates of service, place of service, emergency contact) as well as image and video material that is voluntarily provided to us for public relations and historical purposes. These exceptions are stored indefinitely or until revoked.
